How to automate it

How to automate “write PRDs and specs”

Here are 2 ways to spend less time on this, best first. Each comes with steps you can follow today and, for AI fixes, a prompt to copy.

AIBest fix

Draft the PRD with AI from your notes, research and template

AI turns your notes, customer quotes and the team template into a full first draft, including edge cases and open questions you might have missed. You make the product calls.

Typically saves about 40% of the time10 min to set up
  1. 1Collect your notes, the relevant research or feedback, and your PRD template.
  2. 2Use the prompt below in an approved assistant, or the AI in Notion, Confluence (Rovo) or ChatPRD.
  3. 3Ask it to challenge the draft: missing edge cases, risks, unclear success metrics.
  4. 4Edit the scope and priorities yourself, then share for review.
Prompt to copy
Write a PRD for [FEATURE] using the template below. Audience: engineering, design and [OTHER TEAMS]. Use my notes and the customer evidence; quote customers where useful. Include: problem and who has it, goals and non-goals, success metrics with targets, user stories, requirements (must / should / could), edge cases, open questions, and risks. Mark anything you inferred with [CHECK]. After the draft, list the five questions an engineering lead would most likely ask.

Fix 2 of 2

Process fix

Use a short, fixed spec template and size it to the work

Long specs for small changes waste writing and reading time. A tiered template (one-pager for small, full PRD for big) keeps specs as short as they can be.

Typically saves about 25% of the time45 min to set up
  1. 1Agree two templates with engineering: a one-pager for small changes and a full PRD for big bets.
  2. 2Set the rule for which one to use (for example, more than two weeks of work needs the full PRD).
  3. 3Remove sections nobody reads.
  4. 4Link the spec from every ticket instead of copying content into tickets.

Tools: Notion, Confluence or Google Docs templates

Quick wins

Have you tried…

Have you had AI draft a PRD or spec from your notes and customer evidence?
You give AI your notes, quotes and template; it writes a full first draft and lists open questions. You make the product decisions and edit.
